Report on new head office working scheme


I Background
Due partly to the continued growth in the number of ACIIA members, the increased scope of the ACIIA activities and the ACIIA Director’s resignation, the ACIIA AGM (June 2007) approved an increase in the personnel resources for the ACIIA head office in Switzerland.

II New personnel
Ms. Vera Egli has been appointed as ACIIA Secretary on a 40% part-time basis. Ms. Egli is 38 years old, originally from New Zealand and has extensive administration experience. Ms Egli provided excellent references and her experience, flexibility, friendly disposition and administration capabilities will be a real asset to the ACIIA head office. Ms. Eglis's annual salary including social contributions and insurances will be CHF 40'314. Ms. Fiona Tween has been promoted as ACIIA Secretary General on a 70% part-time basis. Her annual salary is CHF73,500, and ACIIA will pay her one month bonus in December 2007, and also increase her salary by 3% in January 2008.

III Implementation of new working scheme, head office.
Fiona Tween, ACIIA Secretary General has increased to a 70% position and Vera Egli has been appointed on a 40% part-time basis with the hours to be worked over 5 mornings. Ms Egli will commence her duties on Monday 19 November 2007.
The Secretary General implements and administers the ACIIA activities and operations in accordance with the decisions of the Council and the instructions of the Chairman. The Secretary performs day-to-day tasks in accordance with the Secretary General’s instructions.
In line with the above, the Secretary General and the Secretary implement and administer the following major business respectively.

Ms. Fiona Tween, Secretary General:

  • Implement and administer ACIIA activities and operations
  • Manage the administration assistant
  • Report on ACIIA operations to the Chairman and initiate improvements
  • Liaise between ACIIA Council Members, ACIIA Members, and external parties
  • Liaise between the IEC and CIE in regard to the implementation of the exams
  • Project management

    Ms. Vera Egli, Secretary:

  • Provide administrative support to the ACIIA head office
  • General correspondence and e-mail
  • Keep the ACIIA website and directory information up to date
  • Direct phone calls and mail to appropriate person
  • Accurate and clearly arranged record keeping and filing (both electronic and hard copy)
  • Raise invoices, organise approval of payments
  • Format ACIIA documentation
  • General administrative assistance for projects

    This division of responsibilities is a guide only, because since there are only two part-time staff members each needs to respond flexibly in assisting the other when circumstances dictate despite the responsibilities being clearly defined to the extent possible.
